Job Description

As an Executive Assistant (EA), your main responsibilities will include:

  • Providing comprehensive administrative support to senior executives, including calendar management and meeting coordination.
  • Managing travel arrangements and preparing detailed itineraries.
  • Handling confidential documents and ensuring proper filing and record-keeping.
  • Coordinating internal and external communications on behalf of executives.
  • Organising and preparing materials for meetings, presentations, and reports.
  • Assisting with expense reporting and budget tracking.
  • Liaising with internal departments and external stakeholders to ensure seamless communication.
  • Providing ad-hoc administrative support as needed to ensure the smooth functioning of the office.

The Successful Applicant

A successful Executive Assistant (EA) should have:

  • Higher Education in business administration or relevant
  • Previous experience in a similar role within the financial services industry or related fields.
  • Solid 8 years+ secretarial experience supporting mix of expats and local management
  • Strong organisational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Excellent verbal and written communication skills in English, Cantonese and Mandarin
  • Ability to handle sensitive information with discretion and professionalism.
  • A proactive and resourceful approach to problem-solving and task management.
  • Capacity to work effectively in a fast-paced and dynamic environment.
