About Our Client

My client is a new set up in the buy side industry within Financial Services, backed by some key players in the market they are urgently looking for an Office Manager/ Executive Assistant to support senior management. They will also need to be comfortable and have demonstrated previous experience in a new set up environment to assist with office admin and developing new SOPs and processes to ensure efficiency.

Job Description

As an Executive Assistant /Office Manager, your main responsibilities will include:

  • Providing comprehensive administrative support to senior executives, including calendar management and travel arrangements.
  • Overseeing daily office operations to ensure smooth and efficient workflow.
  • Managing correspondence, preparing reports, and maintaining records as required.
  • Coordinating meetings, conferences, and other events both locally and internationally.
  • Handling expense reports and budget tracking for the office and executives.
  • Liaising with internal departments and external partners to facilitate communication and collaboration.
  • Ensuring compliance with company policies and procedures in office management tasks.
  • Supervising office supplies and vendor management to maintain optimal resources.

The Successful Applicant

A successful EA/OM should have:

  • Higher education in Business Administration or relevant
  • Over 6 years experience in new start up environments in secretarial/ admin capacity - ideally in Financial Services.
  • Strong organisational and multitasking skills with an eye for detail.
  • Excellent written and verbal communication abilities in English, Mandarin and Cantonese
  • Proficiency in office software such as Microsoft Office Suite and scheduling tools.
  • A proactive and solution-oriented approach to managing challenges.
  • The ability to maintain confidentiality and handle sensitive information with discretion.
