Job Description

  • Provide dedicated administrative support to a team of Research Analysts, with primary responsibility for the team leader while partnering closely with another senior assistant to ensure smooth coverage.
  • Manage complex calendars, coordinate internal and external meetings, resolve scheduling conflicts, and maintain recurring meetings in a fast-paced environment.
  • Arrange conference calls, meeting rooms, video conferences, and AV requirements, ensuring logistics run smoothly and efficiently.
  • Coordinate travel arrangements including flights, accommodation, transportation, itineraries, and agendas while liaising with internal and overseas stakeholders.
  • Process expense claims accurately and efficiently, maintaining a high level of organisation and attention to detail.
  • Support team initiatives including offsites, social events, workshops, team meetings, and other ad hoc projects.
  • Manage electronic and physical documentation, ensuring records are organised and materials are uploaded to internal systems.
  • Prepare meeting materials in advance, anticipating requirements and ensuring stakeholders are fully supported.
  • Build strong relationships across teams, business units, and global offices to deliver seamless administrative support.
  • Assist with departmental projects and operational initiatives, demonstrating flexibility, professionalism, and a collaborative mindset.

The Successful Applicant

  • Fluent in Cantonese, Mandarin, and English, with strong verbal and written communication skills.
  • Excellent interpersonal skills with sound judgement, professionalism, and a proactive approach.
  • Proficient in Microsoft Office and other business systems, with the ability to learn quickly.
  • Highly organised and detail-oriented, consistently delivering accurate and high-quality work.
  • Resourceful problem-solver with the ability to gather information and identify effective solutions.
  • Dependable team player with strong prioritisation skills and a collaborative mindset.
  • Able to manage multiple responsibilities, meet deadlines, and perform well under pressure.
  • Maintains the highest standards of integrity, discretion, and professional conduct.
