About Our Client

Our client is a boutique fund house with over 15 years presence in Asia. They are currently looking for an EA to support a Senior Partner in the business, this role is around 70% EA and 30% Office Administration for the wider office.

Job Description

As an Executive Assistant/Office Admin, your main responsibilities will include:

  • Providing executive-level administrative support to senior management, including scheduling meetings and managing calendars.
  • Coordinating travel arrangements, including flights, accommodations, and itineraries.
  • Maintaining and organising confidential files, documents, and reports.
  • Handling incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Handling personal matters also -liaising with household staff such as drivers, helpers to ensure kids and family schedules are on top of
  • Overseeing general office administration, such as ordering supplies and maintaining office facilities.
  • Preparing presentations, reports, and meeting materials as required.
  • Supporting the planning and execution of company events and meetings.
  • Ensuring compliance with company policies and procedures in all administrative activities.

The Successful Applicant

A successful Executive Assistant/Office Admin should have:

  • Higher education in business administration or relevant
  • Around 10 years+ solid experience in secretarial support / administration in financial services
  • Previous experience in a secretarial, administrative, or office management role,
  • Strong organisational and multitasking skills with keen attention to detail.
  • Excellent verbal and written communication skills in English; proficiency in Cantonese or Mandarin is a plus.
  • A proactive attitude with the ability to work independently and under pressure.
  • Strong problem-solving skills and a commitment to maintaining confidentiality.
