Job Description

Vendor & Procurement Management

  • Develop and implement procurement policies and procedures aligned with organizational objectives
  • Manage vendor relationships, maintain vendor lists, and participate in end-to-end procurement processes from tendering to contract drafting
  • Monitor vendor performance to ensure compliance with timelines, deliverables, and quality standards
  • Ensure all procurement activities comply with internal guidelines and statutory requirements
  • Administer operational contracts and maintain up-to-date filing system, ensuring adherence to company policies



Office Operations & Administration

  • Establish and maintain standard operating procedures in line with head office policies
  • Supervise admin team including drivers and guest services teammates
  • Act as the main point of contact for landlords, building management office and other external parties on operational matters
  • Handle office supplies, catering needs and safety protocols
  • Coordinate transportation arrangements, venues and provide any logistics support to visitors and staff from overseas offices
  • Support budget control, forecasting, and prepare operational reports
  • Assist HR and IT with onboarding arrangements for new employees
  • Cover guest services and back-office teams when needed

The Successful Applicant

  • Bachelor's degree holder
  • 10 years of proven track record in office administrative and vendor management roles, preferably within financial services industry/ sizeable professional services firms
  • Proficiency in both written and spoken Chinese (Cantonese, Mandarin) and English
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite including Word, Excel, Outlook and PowerPoint
  • Excellent communication and interpersonal skills
  • A proactive approach to problem-solving and attention to detail
  • Strong team player and be highly flexible
