Job Description

  • Coordinate office facilities functions including repairs, maintenance, cleaning, safety and security
  • Support office operations covering procurement, vendor management, records storage and travel arrangements
  • Ensure compliance with government and firm policies relating to safety, fire, environmental, health, hygiene and security standards
  • Assist with the implementation and maintenance of firm-wide policies, procedures and initiatives
  • Support facilities upgrades and office renovation projects
  • Assist with business continuity planning for facilities and operational functions
  • Help organise firm events, including annual dinners, seasonal functions and major office events
  • Supporting the wider office on file management projects
  • Provide ad hoc operational and project support as required by regional management

The Successful Applicant

    • Tertiary education with a minimum of 5years' experience in facilities and office administration, ideally within an international law firm (or comparable professional services environment)
    • Excellent written and spoken English and Chinese
    • Strong sense of responsibility with proven ability to work independently
    • Highly organised, detail-oriented and hands-on with a proactive, flexible mindset
    • Project management experience is advantageous
    • Strong writing, research and analytical skills
    • Able to work under pressure and respond to urgent operational needs
    • Proficient in MS Word, Excel, PowerPoint and Chinese input
