Job Description

  • Manage all Hong Kong office administrative operations, ensuring efficient workflows, accuracy, and timely completion of tasks.
  • Coordinate administrative activities across APAC liaising with international colleagues and external service providers.
  • Lead and mentor secretarial staff, allocate duties, provide training, and monitor performance to ensure service standards.
  • Develop, implement and improve office procedures, document management and workflows to enhance operational efficiency and compliance.
  • Manage vendor relationships for IT, printing, translation and facilities, ensuring timely, cost-effective service delivery and contract oversight.
  • Plan and allocate office space and resources, coordinating moves and ensuring adequate facilities for team operations.
  • Approve and process travel, procurement and expense requisitions, maintaining accuracy and adherence to company policies.
  • Organize client and internal events end-to-end, managing logistics, budgets, vendors and stakeholder communications and post-event evaluation.
  • Handle confidential HR and sensitive administrative matters with discretion, sound judgement and escalation where necessary.
  • Manage departmental IT and business information services, coordinate support requests and ensure reliable systems for productivity.

  • Managed and developed administrative teams, allocating duties, training, mentoring, and performance monitoring.
  • Led complex office projects independently, applying judgement to resolve technical and procedural issues.
  • Organises workload, prioritises tasks, coordinates projects, meets deadlines with minimal supervision.
  • Uses initiative within policies, makes decisions based on facts and circumstances.
  • Communicates effectively with colleagues and external parties; strong presentation and written skills.
  • Handles confidential matters discreetly, demonstrates excellent planning, organisation and attention to detail.
