Job Description

  • Analyze and address office administrative and procedural issues, including sensitive HR matters.
  • Oversee all aspects of administrative and office management functions.
  • Supervise secretarial staff, assigning tasks, providing training, and offering mentorship.
  • Manage IT services, business information, word processing, printing, and translation services for the department.
  • Coordinate administrative relationships with external and internal service providers.
  • Coordinate office activities, develop and recommend procedures and systems, and ensure smooth operations.
  • Ensure office services meet required standards for the division.
  • Plan and allocate adequate space for division operations.
  • Review and approve travel, office supply, and other requisitions.
  • Plan and organize client and internal events.
  • Lead and execute projects from initiation to completion.
  • Provide assistance in other project work as needed, which may include marketing activities.

The Successful Applicant

  • Past experience to lead and manage a team of administrative staff.
  • Demonstrate experience in handling technical, complex, and challenging office projects, relying on independent judgement.
  • Utilize independent judgement within established policies and procedures.
  • Foster effective communication and collaboration with colleagues and external stakeholders.
  • Possess excellent oral and written communication skills for interactions with senior management and external parties.
  • Exercise strong judgement and discretion in decision-making.
  • Exhibit exceptional planning and organizational skills with meticulous attention to detail.
  • Capably handle multiple and potentially conflicting priorities.
  • Minimum of 4 years of administrative/managerial experience, with preference for financial services background.
  • Preferably, possess native-level English skills, and proficiency in Chinese languages (Cantonese and Mandarin) would be valuable.
  • Proven experience in supporting teams across multiple locations, managing concurrent tasks, meeting deadlines, and working independently.
