We are seeking a dedicated and organized Office Manager/ Executive Assistant to join a global financial services firm. This role requires a proactive and flexible individual to manage all-round office operations as well as to support senior executive.

Job Description

  • Maintain a corporate and professional office setting, acting as the key vocal point across departments, office and headquarters
  • Manage day‑to‑day facilities and supplier activities by working closely with building management office and vendors, monitoring cleaning and security performance, and handling vendor agreements and negotiations
  • Handle a wide range of administrative and operational tasks such as processing invoices, maintaining office and IT supplies, coordinating mail and couriers, organising records and system data etc.
  • Organize staff activities and office events following company's initiatives
  • Act as the designated Health & Safety representative for the Hong Kong office, undertaking required training and assisting with first‑aid responsibilities
  • Deliver high‑level executive assistance to the senior executive
  • Manage complex calendars, travel and meeting arrangements as well as expense reimbursement for the senior executive
  • Other ad-hoc projects as assigned

The Successful Applicant

  • Proven experience in administrative or office management roles from financial services firms
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal abilities; Proficient in both written and spoken Chinese (Cantonese, Mandarin) and English
  • Proficiency in office software, including Microsoft Office Suite
  • A proactive and resourceful approach to provide solutions within a tight deadline
  • Ability to maintain confidentiality and handle sensitive information
