We are looking for an exceptionally organized, detail‑driven, and proactive Chief of Staff to act as the central coordinator between the founder and all internal/external stakeholders. Fluency in Mandarin and English is necessary.

Job Description

Founder & Executive Coordination

  • Serve as the primary operational bridge between the founder and partners, vendors, and internal teams.
  • Track and drive 20+ concurrent workstreams, ensuring deadlines are met and follow-ups happen on time.
  • Prepare briefs, agendas, and action lists for meetings with investors, partners, and production teams.

Vendor & Partner Management

  • Own communication, follow-up, and negotiation with production vendors and technical suppliers.
  • Coordinate procurement (e.g., smart poker tables), manage quotations, timelines, and delivery.
  • Maintain all contracts, documentation, and payment schedules in organized systems.

Production & Venue Logistics

  • Oversee production planning for London, Jeju, and other global locations.
  • Handle venue booking, crew scheduling, equipment logistics, and pre-production milestone tracking.
  • Ensure smooth coordination between technical teams, talent, and post-production.

Hiring & Administration

  • Manage hiring pipelines, screening, and onboarding for operational and creative roles.
  • Support company admin: finance tracking, reporting, and maintaining operational dashboards.

Legal & Compliance Support

  • Coordinate IP filings, contract renewals, and compliance timelines with legal partners.
  • Assist with investor documentation and company structuring tasks as needed.

The Successful Applicant

  • At least 5 years experiences in operations, chief of staff, or executive support-preferably in media, entertainment, or startup environments.
  • Exceptional organizational skills with the ability to manage multiple stakeholders and fast-moving priorities.
  • Strong communication and negotiation skills.
  • Fluency in Mandarin and English (written & spoken).
  • in project management and productivity tools (Notion, Airtable, Asana, Google Workspace, Microsoft 365).

Preferred (Not Required)

  • Background in media production, entertainment, or live events.
  • Familiarity with poker or gaming industries.
  • Experience with IP filings, vendor negotiation, or startup fundraising.
