Our client is looking for an Administrative Assistant to join the services team, supporting both office admin operations and senior executives on secretarial tasks. Prior secretarial experience is not a must; F&B and hospitality background is a huge advantage as this position is to deliver high-level customer and hospitality service to internal and external parties.

Job Description

As an Administrative Assistant, your main responsibilities will include majorly two parts - office admin and executive support:

  • Coordinating daily office operations to ensure smooth functionality
  • Maintaining office supplies inventory and placing orders when necessary
  • Backing up reception; handling incoming calls, emails and courier, meeting & greeting guests
  • Liaising with vendors and service providers to ensure timely delivery of services
  • Assisting in coordinating maintenance and repair of office equipment and facilities
  • Providing dedicated executive support to the senior management
  • Arranging travel and meeting logistics including flights, hotel and room bookings
  • Managing the senior management's calendar
  • Preparing meeting materials as well as expense reports
  • Assisting in other ad-hoc projects as required

The Successful Applicant

The successful applicant should have:

  • 1-2 years' experience in administrative or office support roles within financial services/ professional services industries; high calibre from aviation/ F&B/ commerce/ hospitality background is also an advantage
  • Excellent communication and interpersonal skills; proficient in written and spoken Chinese (Cantonese, Mandarin) and English
  • Strong organizational and multitasking skills with strong attention to detail and team spirit
  • Flexible character, ability to prioritize tasks and work efficiently in a fast-paced environment
  • Proficiency in MS Office Suite
