My client is looking for an all rounded Administrative Assistant to station at the reception area and assist the office administrative operations work and along with that this individual will handle secretarial related duties as well.

Job Description

  • Carry out receptionist duties, including welcoming visitors and managing phone calls.
  • Keep the company pantry clean and organised.
  • Handle general office tasks like courier services and deliveries.
  • Manage office supplies and stationery to ensure everything is stocked.
  • Coordinate meeting rooms and arrange logistics for events.
  • Support additional tasks as needed.
  • Work with the administration manager and the Resource Management team to keep the office running smoothly.
  • Organize and manage electronic filing, SharePoint, contact lists, and distribution lists.
  • Plan and coordinate in-house events and office activities.
  • Assist with daily finance tasks related to the bank's local accounts, process payments and invoices, and distribute financial reports.
  • Help arrange travel plans, including tickets, visas, and hotels, and prepare expense claims.
  • Assist in completing tasks for bank-wide projects.

The Successful Applicant

  • 3+ years of experience as a receptionist or client services assistant in professional firms or multinational companies.
  • Supportive, proactive, and positive attitude, with great problem-solving and people skills.
  • Professional demeanor with excellent phone etiquette.
  • High proficiency in Microsoft Office, internet tools, email, calendar management, and virtual meeting platforms.
  • Editing skills for reports, speeches, notes, and emails are a bonus.
  • Strong English communication skills; being fluent in Mandarin is a plus.
  • Solid organizational and administrative skills.
  • Willingness to be flexible with different types of work.
