We are seeking an experienced office administration & facilities manager to join a leading organization in the financial services industry. This role requires strong administrative, workplace maintenance and safety expertise to support office operations effectively.

Job Description

  • Oversee daily office maintenance, facilities upkeep, and vendor contracts, ensuring all equipment and workspace areas remain in good working condition
  • Coordinate repairs, planned maintenance, and building management matters, including safety and OSHO-related facility requirements
  • Manage audio‑visual setups, meeting room arrangements, dealing/IP phone systems, and voice recording checks
  • Handle procurement activities, payment checking, and sourcing of office equipment and supplies, including basic maintenance tasks
  • Administer contract renewals, subscription changes, key/document custody, and support emergency or after-hours facility issues
  • Support administration projects such as office moves, stock control, operational procedure monitoring, and providing updates on facilities and procurement activities
  • Supervise a small team and conduct periodic reviews
  • Be flexible to be on duty during severe weather or special circumstances when required

The Successful Applicant

  • Bachelor's degree holder
  • 10 years of experience in facilities or office administration in large corporations, including hands‑on involvement in WR2 tasks, office relocation, procurement, and payment workflows
  • Proven ability to lead and guide junior and clerical staff, ensuring clear direction and effective teamwork to meet operational objectives
  • Strong command of written and spoken English and Cantonese, coupled with excellent communication skills and a collaborative mindset
  • Self‑motivated, reliable, capable of working under pressure and dealing with emergencies, with flexibility to take on ad‑hoc tasks when required
  • Proficient in Microsoft Office applications such as Access, Word, Excel, and PowerPoint
